Everything SyncBooks does

Everything a small business needs to keep its books, and more as you grow. The same tools on every plan; the plans differ only in how many companies, users and warehouses they include.

  • Sales and getting paid

    • Quotes, estimates and invoices with your company's branding
    • A pay link on every invoice, so customers can pay by card through your own Stripe account
    • Recurring invoices, payment reminders, late fees and deposits
    • A customer portal: customers sign in by an emailed link to see invoices, payments, quotes and their statement, and pay several invoices at once
    • Price lists, credit limits, returns and refunds
  • Accounting and reports

Double-entry books that post themselves. Period close, audit log, multi-currency with daily European Central Bank rates, classes and locations, budgets, a cash flow forecast, fixed assets and depreciation, deferred revenue, projects and billable time, and expense claims. Profit and loss, balance sheet, cash flow, trial balance, general ledger, ageing, statements, 1099 and inventory valuation, plus reports you build yourself. Every report downloads as CSV or PDF.

  • Banking

Statement import (CSV, OFX, QFX) from any bank, and daily bank feeds from US and Canadian banks through Plaid (opening soon). Rules that suggest how to record each line, reconciliation, and a receipt inbox that reads PDF receipts and matches them to the bank line.

  • Payroll and mileage

    • SyncBooks Payroll: run payroll, work out payroll taxes and post each pay run to the books.
    • SyncBooks Mileage: record business trips in the app and claim them on expense claims.
  • Inventory in depth

    • Warehouses, aisles and bins; stock owned by one company can sit in another company's bin
    • Transfers between warehouses and bins, and adjustments with a history
    • Reorder points and low-stock alerts; the reorder list turns chosen lines into draft purchase orders, one per supplier
    • Kits and bundles, serial numbers, and lots with expiry dates (an add-on per company)
    • Barcode screens for receiving, counting and moving stock, with a USB or Bluetooth scanner
    • FIFO, specific lot or moving average cost, and landed cost
  • Orders from every channel

One list of orders from every source: entered by hand, Shopify and the marketplaces. Sales figures use Shopify's definitions, so they match the Shopify admin. Ad spend from Google, Microsoft and Meta comes in daily, so Home and Analytics show profit after ads.

  • Purchasing

    • Purchase orders emailed to suppliers, and receiving into bins
    • Bills matched to what was received
    • Approval rules for purchase orders and bills
    • Recurring bills, supplier credits, and payment runs that pay several bills at once with remittance advice
    • W-9 details and the 1099 report
    • A supplier portal: suppliers sign in by an emailed link, confirm purchase orders with the date they expect to ship, download them as PDFs, send their invoices and see what is paid
  • US sales tax

One tax agency per state registration. Rates from the Streamlined Sales Tax files, kept current every day. Tax per line from the ship-to address, exemption certificates, and a liability report per agency and period.

  • Several companies in one workspace

Add your companies and switch between them from the top-right menu. Group related companies. See your key numbers across all of them on one Home board, in the reporting currency you choose. One company can sell stock another company holds, with the internal sale recorded on both sides, and the group report eliminates intercompany balances.

  • Automation

Workflow rules act when an invoice goes overdue, stock reaches its reorder point, a bill or an order arrives, or a supplier confirms an order or sends an invoice. A rule can notify people, add a To Do on their Home, email them, or require approval of the bill. Rules never post to the books.

  • Team and security

Roles built from view and edit permissions per area, each member limited to the companies you choose. Your accountant and other collaborators join free and do not use a seat. Two-step verification, a list of signed-in devices, sealed tax IDs and bank details, and a full export of your workspace.

  • For developers

A versioned public API with keys limited to chosen companies, and webhooks that tell your own software when a sale is made, an invoice is paid or stock changes.
