The Benefits of Using SyncBooks for Multi-User Collaboration
Roles built from view and edit permissions, free seats for your accountant, approvals, an audit log and two-step verification. How teams share one set of books in SyncBooks.

Books are rarely kept by one person. An owner approves spending, a bookkeeper records bills, someone in the warehouse receives stock, and an outside accountant closes the year. When everyone works from their own spreadsheet or email thread, numbers drift apart and nobody is sure which version is right.
SyncBooks gives everyone the same books, in the browser, with access set to what each person needs. Here is how.
1. Roles and permissions
Every member of your workspace has a role. SyncBooks comes with Owner, Admin, Accountant and Viewer, and you can build your own roles from view and edit permissions for each area of SyncBooks.
So the warehouse team can receive stock without seeing the bank accounts, a manager can read the reports without changing anything, and your bookkeeper can enter bills without changing settings.
2. Access by company
If you run more than one company, you choose which companies each person can see. Invite someone by email with a role and a set of companies, and that is all they get. A brand manager can work in one company while you see all of them from one login.
3. Your accountant, free
Outside people such as your accountant join as collaborators, by code or by request. Collaborators don’t use up the seats in your plan. An accountant who serves several businesses sees every company they work on in one Clients list.
That means no more sending exports back and forth at year end: your accountant can run the reports and check the books themselves, with the access you give them.
4. A record of who did what
The audit log records who posted or changed what, and when. Journal entries cannot be edited once posted; a mistake is corrected with a reversal, so the history stays intact. Approvals, changes of costing method and other decisions are recorded with the person and the reason.
When a number looks wrong, you can see where it came from instead of asking around.
5. Approvals before money moves
Approval rules hold a purchase order or a bill until the right person signs off, for example any bill over an amount, or anything from a given supplier. Until it is approved, a purchase order cannot be emailed or received, and a bill does not post or get paid.
Workflow rules keep people informed: when an invoice goes overdue, stock reaches its reorder point or a large order arrives, SyncBooks can notify the right people, email them or add a to-do on their Home.
6. Security for every login
More people in the books means more logins to protect. SyncBooks offers:
- Two-step verification with an authenticator app, which a workspace can require of every member.
- Signed-in devices, so each person can see where they are signed in and sign out any session.
- Sealed sensitive data: tax IDs, Social Security numbers and bank details are stored encrypted and shown masked.
7. Customers and suppliers help too
Collaboration doesn’t stop at your team. Customers can sign in to the customer portal to see their invoices and statement and pay several invoices at once. Suppliers can use the supplier portal to confirm your purchase orders and send their invoices, which arrive in your receipt inbox.
